Privacy Policy
This explains what the Comfort First Early Learning website collects, where it goes, and who to ask about it. It covers this website only. If your child is enrolled with us, or you work here, the records we keep about you are covered by the agreements you signed with the centre rather than by this page.
Comfort First Early Learning is operated by the Oceanside Sprouts Early Learning Society, a non-profit society, in Ucluelet, British Columbia.
The waitlist form
If you join the waitlist, the form asks for your name, your email address, and a phone number or other way to reach you — all three are required. For each child you add, it asks for the child’s name, date of birth, and which type of care you need; those are required too. You can also tell us your reason for needing care, the schedule you are looking for, when you need to start, which community you are in, and what you are hoping for from a program. Those last ones are optional.
Some of that is sensitive — a child’s date of birth, and a reason for care that may mention a medical or respite need. We ask for it because it is what we need to place children fairly and to plan our rooms. Only the fields marked required have to be filled in.
When you submit the form it is received by Netlify, the company that hosts this website, and then copied into a private Google spreadsheet that the centre uses to manage the waitlist. That spreadsheet is where we work from, and it is what generates the emails you may get from us about your place.
Who can see it: the centre manager and our administrative staff. It is not open to the wider staff team. Our website developer also has technical access while maintaining the site and the systems the waitlist runs on; they use it only to keep those working, not for any purpose of their own.
Whether it is shared: no. Waitlist information is not sold, traded, or passed to anyone outside Comfort First — not to other centres, not to the school district, and not to funding bodies. Netlify and Google handle it only as the companies providing our website and our spreadsheet.
How long it is kept: if we have had no contact with you about your place for 12 months, we treat the entry as inactive and remove it at our next annual review. Removing it covers the waitlist spreadsheet and its archive, the original form submission held by our website host, and the notification email we received. We may have to keep something longer where the law requires it, and if so we keep only that.
Applying for a job
The careers form asks for your name, email address, phone number, which room you are interested in, a message, and lets you attach a résumé. It goes to Netlify and is emailed to the centre. It is not added to the waitlist spreadsheet.
How long it is kept: we keep an application and any attached résumé for at least one year after the hiring decision, which is what British Columbia's privacy law requires for records used to make a decision about someone. After that they are deleted. If you are hired, your application becomes part of your employment record and is covered by that rather than by this page.
What this site does not do
We do not use website analytics or advertising pixels. There is no Google Analytics, no advertising tag, and no social media tracker on any page, and the site sets no cookies of its own. The site’s typeface is served from this site itself rather than from Google Fonts, so displaying a page sends nothing to Google. Google Maps does receive connection information when it loads, which is explained below.
Google, on our pages
Two things on this site come from Google, and both mean Google can see that a visitor loaded the page — including your IP address and general browser information — in the ordinary way any website request works.
- The map. The map showing where we are appears on the home page and the book-a-tour page, and is loaded from Google Maps. Pages without a map make no request to Google Maps at all.
- Booking a tour. The “book a tour” button takes you to a Google Calendar booking page. Whatever you enter there — your name, your email address, and any note you add — is collected by Google on that page, not by this website. It reaches us as a calendar appointment, which we use to arrange and hold your visit, and which stays in the centre’s calendar with our other appointments. If you would rather not book through Google, call us and we will arrange a time directly.
Google’s own privacy policy is at policies.google.com/privacy. Netlify, which hosts the site and receives the forms, publishes its own at netlify.com/privacy.
Netlify and Google are United States companies, so information sent through this website may be processed or stored outside Canada.
Asking what we hold, or asking us to change it
Ask us, and we will acknowledge your request promptly and respond within 30 business days. We can tell you what we hold, correct it, or delete it. If there is something we cannot delete — because we are required to keep it, or because it is bound up with another family's information — we will tell you which and why.
Send privacy questions and requests to admin@comfortfirstel.com, or call the centre on +1 250-266-4290.
If you are not satisfied with how we have handled your information, you can raise it with the Office of the Information and Privacy Commissioner for British Columbia, whose guidance for the public is at oipc.bc.ca.
